The short version

Your bank statements contain sensitive financial data, and we treat them that way:

We never store your original PDF. It is processed in memory and discarded as soon as the data has been extracted.
We do not use your statements to train AI models, and we do not sell your data.
Extracted results are automatically deleted after a short retention window (see Data retention).
You can convert without creating an account.

Convert Bank Statements ("we", "us") operates the website at convertbankstatements.app, a tool that converts PDF and scanned bank statements into Excel, CSV, QBO, and OFX files. For privacy questions, email support@convertbankstatements.app.

Information we collect

The files you upload. When you convert a statement, you upload a PDF. We use it only to produce your converted file (see the next section).

Account information (optional). If you create an account, we store your email address and, if you sign in with Google or GitHub, the basic profile information those providers share. You can also convert a limited number of pages without an account.

Usage and billing data. If you buy pages, our payment processor records the transaction; we store a record of your purchase and remaining page balance. We also keep a coarse, hashed identifier (a one-way hash of your IP address) to enforce free-usage limits for anonymous users.

Website analytics. We use privacy-oriented analytics to understand aggregate usage (pages viewed, general location, device type). This does not include the contents of your statements.

How we handle your bank statements

This is the part that matters most, so we spell it out:

Your PDF is uploaded over an encrypted connection.
It is converted to page images in memory and sent to a trusted third-party AI provider that extracts the transactions. The original PDF is never written to permanent storage on our servers.
The extracted data (dates, descriptions, amounts, balances) is saved so you can review and download it in the formats you chose.
After the retention window, the extracted data is permanently deleted automatically.

We do not use your statements or extracted data to train, fine-tune, or improve any AI model.

Data retention

Original PDF: not retained — discarded immediately after extraction.
Extracted results: retained for up to 7 days so you can return and re-download them, then automatically deleted.
Account and billing records: kept while your account is active and as required for tax and accounting obligations.

Third-party services

We share the minimum data necessary with service providers who process it on our behalf:

AI extraction provider — receives page images of your statement to extract the transactions.
Hosting and database — stores your account and extracted results.
Payment processor — handles purchases; we never see or store your full card details.
Email provider — sends account and transactional emails.
Analytics and anti-abuse — aggregate usage measurement and bot protection.

We do not sell your personal data or share it for advertising.

Your rights

Depending on where you live (including under GDPR and CCPA/CPRA), you may have the right to access, correct, export, or delete your personal data, and to object to certain processing. To exercise these rights, email support@convertbankstatements.app. You can delete your account at any time from your account settings.

Data security

We use encryption in transit, access controls, and reputable infrastructure providers. No method of transmission or storage is 100% secure, but we design the service to hold as little of your data, for as little time, as possible.

Cookies

We use essential cookies to keep you signed in and to enforce free-usage limits, plus analytics cookies as described in our Cookie Policy.

Children

The service is not directed to children under 16, and we do not knowingly collect their data.

We may update this policy from time to time. Material changes will be posted on this page with a new date above.
